Creating Documents
RAMSdoc supports several document types. This guide covers creating each type and choosing the right creation method.
Document types

Starting a new document
Section titled “Starting a new document”- From the dashboard or the Documents page, click New RAMS (or select another document type from the dropdown).
- Select an existing project or create one inline by entering the project name, client details, and job reference.
- Select a site or create one with the address, access notes, and emergency assembly point.
- Choose your creation method.

Creation methods
Section titled “Creation methods”AI Generation
Section titled “AI Generation”The fastest way to create a complete document. Describe your work and AI generates every section.
- Select AI Generation.
- Complete the guided wizard:
- Industry and work type
- Site type (indoor, outdoor, rooftop, confined space, etc.)
- Duration and working hours
- Number of workers
- Equipment and plant list
- Proximity to the public
- Optionally upload site photos for AI to analyse.
- Answer any follow-up questions AI asks (typically 3-5 questions to improve accuracy).
- Click Generate Document.
The AI produces a complete document with all sections populated, including 10-20 hazards with risk scores, control measures, COSHH assessments, PPE requirements, and emergency procedures.
Cost: 5 AI credits for a full document generation.

From a template
Section titled “From a template”Start from a pre-built template tailored to common work types.
- Select From Template.
- Browse by industry category or search by keyword.
- Preview a template to check it suits your work.
- Click Use Template.
The document opens with sections pre-populated based on the template. Edit each section to match your specific work.
Blank document
Section titled “Blank document”Start with an empty document structure.
- Select Blank Document.
- The document opens with all sections present but empty.
- Work through each section from top to bottom.
Duplicate an existing document
Section titled “Duplicate an existing document”If you have done similar work before, duplicating an existing RAMS is often the quickest approach.
- Open the document you want to copy.
- Click More > Duplicate.
- Update the project, site, and any details that have changed.
RAMSdoc also detects duplicates automatically — if you start creating a document and a similar one already exists in your organisation, it will suggest duplicating instead.
Linked documents
Section titled “Linked documents”Some document types can be generated from an existing RAMS:
- Toolbox talk — a simplified briefing extracted from an approved RAMS (2 credits)
- COSHH assessment — a standalone substance assessment linked to the parent document
- Safe system of work — a focused method statement for a specific task
To create a linked document:
- Open the parent RAMS.
- Click Generate > Toolbox Talk (or COSHH, or SSOW).
- The new document is created and linked to the parent RAMS.
Linked documents appear under the parent in the document list and share version history.
After creation
Section titled “After creation”Once your document is created, the next step is to edit and complete each section.
