Answers to common questions about using RAMSdoc, organised by topic.

Go to the RAMSdoc sign-up page, enter your name, email, and a password, then verify your email. See Account Setup for full instructions.

Yes. The Free plan includes core RAMS creation, templates, approvals, exports, and 10 AI credits per month. See Plans & Pricing for what each plan includes.

Free and Pro plans have a user limit (shown on the plan comparison). Team and Enterprise plans support unlimited users. See Plans & Pricing.

Only Owners and Admins can change user roles. Go to Settings > Users, click on a user, and select a new role. See User Roles.

No. Each person should have their own account. Sharing accounts breaks the audit trail — sign-offs, approvals, and edits cannot be attributed to the correct individual.

RAMS, risk assessments, method statements, COSHH assessments, safe systems of work, toolbox talks, permits to work, and point-of-work risk assessments (POWRA). See Creating Documents.

PDF and DOCX. Exports include your organisation’s branding (logo, colours, company details). See Exporting Documents.

No. Approved documents are locked. To make changes, create a new version from the approved document. The previous version is preserved in the version history. See Version History.

Yes. You can create organisation templates from any document. You can also start from the built-in templates and customise them.

How do I share a document with someone outside RAMSdoc?

You can share via export (download and send the PDF), direct link (generate a token-based read-only link), or the client portal (branded access for your client). See Exporting Documents.

You describe your work in a guided wizard (industry, site type, equipment, etc.) and AI generates a complete RAMS with all sections, hazards, controls, and procedures. See RAMS Content Generation.

Are AI-generated documents safe to use on site?

AI-generated documents must be reviewed by a competent person before use. They start in draft status with a review banner. AI is a productivity tool — it does not replace human expertise and site knowledge. See AI Overview — Limitations.

It checks your document against applicable UK health and safety regulations and returns a score (0-100) with strengths, gaps, and recommendations. See Compliance Scoring.

Can AI identify all the hazards for my work?

AI identifies hazards based on your description and is very good at catching common ones, but it cannot see your site. Always review AI suggestions against your actual conditions and add any site-specific hazards AI may have missed. See Hazard Identification.

AI features are disabled until your credits reset on your billing date or you purchase a credit pack. You can still create, edit, and approve documents manually. See AI Credits.

Yes. Credit packs are available at £10 (50 credits), £30 (200 credits), and £60 (500 credits). Purchased credits do not expire. See Credits & Usage.

RAMSdoc has four plans: Free, Pro, Team, and Enterprise. The Free plan costs nothing. Paid plans are billed monthly or annually. See Plans & Pricing for the full comparison.

Can I switch between monthly and annual billing?

Yes. Go to Settings > Billing > Billing Period. Annual billing typically offers a discount. See Subscription Management.

Your plan continues until the end of the current billing period, then moves to the Free plan. All your data is retained — nothing is deleted. You can reactivate at any time. See Subscription Management.

Go to Settings > Billing > Invoices. Download invoices as PDF. Invoices are also sent to your organisation’s billing email.

Which devices does the mobile app support?

iOS (iPhone and iPad) and Android. Download from the App Store or Google Play. See Mobile App Overview.

Yes. Documents, briefings, sign-offs, POWRAs, and permits all work offline. Data syncs automatically when you reconnect. See Offline Access.

Can workers sign off without downloading the app?

Yes. Workers can scan a QR code from the site board and sign off in their mobile browser — no app required. See Briefings & Sign-Offs.

What happens if a worker’s certification has expired?

The app flags the expired certification and blocks the sign-off for tasks requiring that competency. The supervisor can reassign the worker or record an override with a reason. See Briefings & Sign-Offs — Competency Checks.

How do I get my subcontractors to submit their RAMS?

Invite them through the supply chain portal. They receive an email, sign up (or log in), create their RAMS, and submit it for your review. They can use the Free plan. See Inviting Contractors.

Does RAMSdoc check contractor submissions automatically?

Yes. When a contractor submits their RAMS, a compliance check runs automatically and you see the score alongside the document. See Reviewing Submissions.

Hazards that arise from the interaction between different contractors’ work on the same site. RAMSdoc scans contractor RAMS for potential conflicts and flags them for the principal contractor. See Interface Risks.

RAMSdoc tracks all major UK health and safety legislation including HSWA 1974, CDM 2015, Work at Height Regs, COSHH, Manual Handling, Noise, PUWER, LOLER, and more. See UK Legislation.

Does RAMSdoc notify me when regulations change?

Yes, if you are on the Team or Enterprise plan. Regulatory monitoring tracks changes and notifies you when your documents are affected. See Regulatory Monitoring.

Section titled “Is a compliance score of 100 a guarantee of legal compliance?”

No. A score of 100 means your document content covers the applicable regulations well, but legal compliance also depends on on-site implementation, competent supervision, and site-specific factors that a document review cannot assess. See Compliance Scoring — Limitations.

RAMSdoc data is stored on secure servers in the UK. Documents, uploads, and generated files are stored on encrypted, S3-compatible storage.

Yes. RAMSdoc processes personal data in accordance with the UK GDPR and Data Protection Act 2018. You can request data export or deletion at any time through Settings or by contacting support.

Only users within your organisation can access your documents, based on their role permissions. Documents shared via the client portal or direct link use token-based access that you control and can revoke at any time.

Yes. Data is encrypted in transit (TLS/HTTPS) and at rest. Passwords are hashed using industry-standard algorithms.

Yes. Go to Settings > Account > Delete Account. This permanently removes your user account. Organisation data deletion must be requested by the Owner and is processed within 30 days.

  • Check your internet connection
  • Try clearing your browser cache
  • Try a different browser (RAMSdoc supports Chrome, Firefox, Safari, and Edge)
  • If the problem persists, check our status page or contact support
  • Check that you are using the correct email address
  • Use Forgot Password to reset your password
  • If your account was deactivated by an Admin, contact them to reactivate it
  • Check whether your organisation uses SSO — you may need to log in through your company’s SSO provider
  • Large documents may take a few minutes to generate — check the Exports page for status
  • If the export fails, try again. If it fails repeatedly, contact support with the document reference number
  • Check that you have sufficient AI credits (Settings > Billing)
  • Check your internet connection — AI features require connectivity
  • If the error persists, try simplifying your work description and generating again
  • Contact support if the problem continues, including the error message shown
  • Check your internet connection
  • Try pulling down on the screen to force a sync
  • Check that you are logged in to the correct account
  • If offline data is not uploading, ensure the app has not been uninstalled and reinstalled (which clears local data)
