Creating Your First RAMS
This guide walks you through creating a RAMS document from start to finish. By the end, you will have a draft document ready for review.
Before you start
Section titled “Before you start”Make sure you have:
- A RAMSdoc account with Editor role or above
- Basic details about the work (location, scope, duration)
- An idea of the hazards involved (RAMSdoc will help identify these)
Step 1: Start a new document
Section titled “Step 1: Start a new document”- From the dashboard, click New RAMS.
- Select a project or create a new one inline by entering the project name, client details, and site address.
- Select a site or create a new one with the address and any access notes.

Step 2: Choose how to create your document
Section titled “Step 2: Choose how to create your document”RAMSdoc gives you three ways to create a RAMS:
AI Generation (recommended for new users)
Section titled “AI Generation (recommended for new users)”The fastest way to get started. Describe your work and AI generates a complete document for you to review and edit.
- Select AI Generation.
- Complete the guided wizard:
- Industry and work type — select from the dropdown
- Site type — indoor, outdoor, confined space, etc.
- Duration — how long the work will take
- Worker count — number of people on site
- Equipment — list the plant and equipment you will use
- Working hours — standard hours, nights, weekends
- Proximity to public — will members of the public be nearby?
- Optionally upload site photos — AI will analyse them for additional hazards.
- AI may ask 3-5 follow-up questions to improve the output. Answer these as accurately as you can.
- Click Generate Document.
RAMSdoc generates a complete RAMS including work scope, method statement, risk assessment with 10-20 hazards, COSHH assessments, PPE requirements, permits, and emergency procedures.
The document opens in draft status with a banner: “This document was AI-generated and must be reviewed by a competent person before use.”

From a template
Section titled “From a template”Start from a pre-built template for common work types.
- Select From Template.
- Browse templates by industry or search by keyword.
- Select a template and click Use Template.
- The document opens pre-populated with sections you can edit.
Blank document
Section titled “Blank document”Start with an empty document and fill in each section manually.
- Select Blank Document.
- The document opens with empty sections ready for you to complete.
Step 3: Complete the document sections
Section titled “Step 3: Complete the document sections”Whether you used AI, a template, or a blank document, you will work through these sections in the editor:
- Project Information — dates, location, author, scope of work
- Work Scope — what work is being carried out and why
- Methodology — step-by-step safe working procedures
- Operational Sections:
- Access and egress
- Personnel details
- Plant and equipment
- Waste removal and housekeeping
- Permits required
- Training requirements
- PPE requirements
- Emergency procedures
- Traffic management
- Risk Assessment — hazards with severity/likelihood scoring before and after controls
- COSHH Assessments — if hazardous substances are involved

Step 4: Review your risk assessment
Section titled “Step 4: Review your risk assessment”The risk assessment is the core of your RAMS. For each hazard:
- Check the hazard description is accurate and specific to your work.
- Review the severity and likelihood scores before controls.
- Check that control measures are practical and follow the hierarchy of control (elimination, substitution, engineering controls, administrative controls, PPE).
- Review the residual risk scores after controls are applied.
If you used AI generation, a compliance score runs automatically in the background. Check the score and address any gaps flagged in the report.

Step 5: Submit for approval
Section titled “Step 5: Submit for approval”When you are happy with the document:
- Click Submit for Review.
- Select an approver — this must be someone with Manager, Admin, or Owner role.
- Add any notes for the reviewer (optional).
- Click Submit.
The approver receives a notification and can approve the document or request changes.

Step 6: Export your document
Section titled “Step 6: Export your document”Once the document is approved (or if approvals are not enabled):
- Click Export.
- Choose PDF or DOCX format.
- The document is generated with your organisation’s branding — logo, colours, and company details.
- Download the file or share it directly.
You can also generate linked documents from your RAMS:
- Toolbox talk — a simplified briefing for site workers (2 credits)
- COSHH assessment — standalone substance assessment
- Safe system of work — focused method statement
What happens next
Section titled “What happens next”Your RAMS is now ready to use on site. Here are some things you can do:
- Brief workers using the mobile app with digital sign-offs
- Generate a QR code site board for workers to scan on arrival
- Share with your client through the client portal
- Track versions as the work changes — see Version History
