Creating Your First RAMS

This guide walks you through creating a RAMS document from start to finish. By the end, you will have a draft document ready for review.

Make sure you have:

  • A RAMSdoc account with Editor role or above
  • Basic details about the work (location, scope, duration)
  • An idea of the hazards involved (RAMSdoc will help identify these)
  1. From the dashboard, click New RAMS.
  2. Select a project or create a new one inline by entering the project name, client details, and site address.
  3. Select a site or create a new one with the address and any access notes.

Step 2: Choose how to create your document

RAMSdoc gives you three ways to create a RAMS:

The fastest way to get started. Describe your work and AI generates a complete document for you to review and edit.

  1. Select AI Generation.
  2. Complete the guided wizard:
    • Industry and work type — select from the dropdown
    • Site type — indoor, outdoor, confined space, etc.
    • Duration — how long the work will take
    • Worker count — number of people on site
    • Equipment — list the plant and equipment you will use
    • Working hours — standard hours, nights, weekends
    • Proximity to public — will members of the public be nearby?
  3. Optionally upload site photos — AI will analyse them for additional hazards.
  4. AI may ask 3-5 follow-up questions to improve the output. Answer these as accurately as you can.
  5. Click Generate Document.

RAMSdoc generates a complete RAMS including work scope, method statement, risk assessment with 10-20 hazards, COSHH assessments, PPE requirements, permits, and emergency procedures.

The document opens in draft status with a banner: “This document was AI-generated and must be reviewed by a competent person before use.”

Start from a pre-built template for common work types.

  1. Select From Template.
  2. Browse templates by industry or search by keyword.
  3. Select a template and click Use Template.
  4. The document opens pre-populated with sections you can edit.

Start with an empty document and fill in each section manually.

  1. Select Blank Document.
  2. The document opens with empty sections ready for you to complete.

Whether you used AI, a template, or a blank document, you will work through these sections in the editor:

  1. Project Information — dates, location, author, scope of work
  2. Work Scope — what work is being carried out and why
  3. Methodology — step-by-step safe working procedures
  4. Operational Sections:
    • Access and egress
    • Personnel details
    • Plant and equipment
    • Waste removal and housekeeping
    • Permits required
    • Training requirements
    • PPE requirements
    • Emergency procedures
    • Traffic management
  5. Risk Assessment — hazards with severity/likelihood scoring before and after controls
  6. COSHH Assessments — if hazardous substances are involved

The risk assessment is the core of your RAMS. For each hazard:

  1. Check the hazard description is accurate and specific to your work.
  2. Review the severity and likelihood scores before controls.
  3. Check that control measures are practical and follow the hierarchy of control (elimination, substitution, engineering controls, administrative controls, PPE).
  4. Review the residual risk scores after controls are applied.

If you used AI generation, a compliance score runs automatically in the background. Check the score and address any gaps flagged in the report.

When you are happy with the document:

  1. Click Submit for Review.
  2. Select an approver — this must be someone with Manager, Admin, or Owner role.
  3. Add any notes for the reviewer (optional).
  4. Click Submit.

The approver receives a notification and can approve the document or request changes.

Once the document is approved (or if approvals are not enabled):

  1. Click Export.
  2. Choose PDF or DOCX format.
  3. The document is generated with your organisation’s branding — logo, colours, and company details.
  4. Download the file or share it directly.

You can also generate linked documents from your RAMS:

  • Toolbox talk — a simplified briefing for site workers (2 credits)
  • COSHH assessment — standalone substance assessment
  • Safe system of work — focused method statement

Your RAMS is now ready to use on site. Here are some things you can do:

  • Brief workers using the mobile app with digital sign-offs
  • Generate a QR code site board for workers to scan on arrival
  • Share with your client through the client portal
  • Track versions as the work changes — see Version History
